Checking In

On your shift start day, open ShiftFlex and navigate to your Active Shift. Tap Check In.

ShiftFlex will verify your GPS location against the shift's registered work location. You must be within 100 meters of the location to check in successfully.

Check-in Rules

Timing Status Effect
Up to 15 min early On Time Normal — check-in recorded as shift start time
More than 15 min early Too Early ShiftFlex blocks early check-in; wait until the window opens
After shift start Late Recorded as late; late check-in penalty points may apply

Tracking Breaks

While on shift, you can log breaks at any time from the active shift screen. ShiftFlex records the exact duration of each break.

  1. On the active shift screen, tap Start Break.
  2. The break timer starts counting up.
  3. When you return, tap End Break. The break is recorded.
  4. You can take multiple breaks per shift — each one is logged separately.

Managers can see break totals in the time approval screen. Break time is subtracted from your total paid hours based on your organization's policy.

Checking Out

At the end of your shift, tap Check Out on the active shift screen. GPS is verified again at check-out. Your actual hours worked are calculated automatically and submitted for manager review.

Don't forget to check out

If you forget to check out, your shift will appear as abandoned and trigger a review. A manager can manually close the shift on your behalf. Repeated missed check-outs may affect your reliability score.

Attendance Penalties

ShiftFlex applies penalty points automatically for certain attendance behaviors:

Event Penalty Points
Late check-in (by significant margin) ⚠️ Points applied
No-show (didn't check in, shift expired) ⚠️ High penalty
Last-minute cancellation (close to shift start) ⚠️ Points applied

No-Show Detection

ShiftFlex runs an automated background check after each shift's start time. If an employee hasn't checked in within a set window, they are automatically flagged as a no-show. The manager receives a notification and can take action — reassign the shift or contact the employee.

Manager: Time Approval

After a shift ends, the employee's time log is submitted for review. Managers can see all pending time logs by:

  1. Tapping the Time Approvals quick action on the Manager Dashboard (shows live pending count).
  2. Reviewing each log: actual start, end, total hours, breaks taken.
  3. Tap Approve to confirm the hours for payroll, or Flag to query a discrepancy.
