Setting Up as a Manager

The Manager is responsible for creating the organization that employees will join. Complete these steps first before inviting anyone.

    Download & Sign Up

    Download ShiftFlex from Google Play. Tap Create Account, enter your email and a secure password, then verify your email address. You can also sign in with Google for a faster setup. (iOS support coming soon)

    Create Your Organization

    After signing up, tap Create Organization. Fill in your organization name, select your industry type, choose your timezone, and optionally upload a logo. This creates your organization's workspace in ShiftFlex.

    Add Locations

    Go to Settings → Locations and add each physical work location. Provide a name and address — ShiftFlex uses this for GPS check-in validation within a 100m radius of the location.

    Create Roles & Skills

    Navigate to Settings → Skills to define the skills required for shifts (e.g. "Forklift Operator", "Barista", "Security Certified"). These are used to match employees to shifts they are qualified for.

    Invite Your Team

    Go to Team → Invitations. Enter the email addresses of your team members and hit Send Invitations. Each person will receive a secure link. Alternatively, share your organization's invite code directly.

    Post Your First Shift

    Tap Shifts → Create Shift, set the date, start/end time, location, role, and pay rate. Optionally add a surge bonus or required skills. Tap Preview then Post Shift — your team will be notified immediately.

Pro tip: Use Shift Templates

If you run the same shifts regularly, save a shift as a template. Next time, just select the template and adjust the date — no re-entering details. See Shift Templates.

Joining as an Employee

If you've received an invite from your manager, follow these steps to get started.

    Download ShiftFlex

    Download from Google Play (Android). It's free. (iOS support coming soon)

    Accept Your Invitation

    Open the invitation email from your manager and tap the Accept Invitation link. It will open ShiftFlex and automatically link you to your organization. If you have a code, go to Join Organization on the sign-up screen and enter it manually.

    Complete Your Profile

    Add your phone number, upload a profile photo, and (if required) add any certifications or documents your manager needs to verify before you can claim certain shifts.

    Set Your Availability

    Go to Profile → Availability and mark which days and times you are generally available. Managers take this into account when auto-scheduling or assigning shifts.

    Claim Your First Shift

    Open the Shifts tab to see the marketplace. Browse available shifts, tap one to view details, then tap Claim Shift. You'll be notified if you need specific skills or if you're approaching your weekly hour limit.

GPS Required for Check-in

ShiftFlex requires GPS location access to check in to a shift. Make sure to grant location permission when prompted. You must be within 100m of your work location to check in.
