Inviting Team Members

There are two ways to get employees into your organization:

Email Invitations

  1. Go to Team → Invitations (or Settings → Invitations).
  2. Tap Invite Member.
  3. Enter the employee's email address and select their role (Employee or Manager).
  4. Tap Send. They'll receive an email with a secure deep link.
  5. When they tap the link, they're taken to ShiftFlex and automatically joined to your organization after logging in or creating an account.

Invite Code

Your organization has a unique invite code (found in Settings → Organization). Share this code verbally or in a message. Employees enter it on the Join Organization screen in the app.

Viewing & Managing Your Team

The Team tab shows all members of your organization. You can:

  • Search by name
  • Filter by role, location, or active status
  • Tap any member to view their full profile

From an employee's profile, you can view their availability calendar, skills, performance stats, and documents.

Skills Management

Skills define what roles an employee is qualified for. They're used in shift claiming (enforced) and auto-scheduling (filtered).

Create a Skill

  1. Go to Settings → Skills.
  2. Tap Add Skill and enter the skill name (e.g. "Forklift License", "First Aid", "Cashier").
  3. Tap Save. The skill is now available to assign to employees and require on shifts.

Assign a Skill to an Employee

  1. Open the employee's profile from the Team tab.
  2. Tap Skills and select the skills to assign.
  3. Save. The employee can now claim shifts requiring those skills.

Certifications & Documents

Employees can upload required documents from their Profile. As a manager, go to Settings → Documents to:

Action How
View all pending documents Documents tab shows items awaiting review
Verify a document Open it, review, and tap Verify
Reject a document Tap Reject with an optional reason — employee is notified and can re-upload

Document types include: W4, I9, Employment Agreement, Professional License, Safety Certification, and others.

Expiration tracking

When verifying a certification, you can record its expiry date. ShiftFlex will alert you when certifications are about to expire so skills remain current.

Viewing Employee Availability

From any employee's profile, tap Availability to see a weekly calendar showing their stated available days and times. This helps you schedule them appropriately and understand why auto-scheduling may not be assigning them to certain shifts.

Removing a Team Member

Open the employee's profile and scroll to Remove from Organization. Confirm the removal. The employee loses access to your organization's shifts, data, and messaging immediately. Any active shifts they were assigned to will be returned to Open status.
